Berries & Books Parent/Guardian Agreement & Program Policies

Thank you for choosing Berries & Books. Our goal is to provide children with a safe, welcoming, creative, and engaging learning environment. By registering a child for a Berries & Books program, workshop, or activity, the parent or legal guardian agrees to the policies below.

Parent/Guardian Responsibility

The parent or legal guardian is responsible for providing accurate registration information, emergency contact information, medical or allergy information, and any other information necessary to safely participate in the program.

Parents and guardians are responsible for keeping their contact information current and notifying Berries & Books of any changes.

​

Attendance & Participation

Regular attendance is encouraged so children can receive the full benefit of their program.

If your child will be absent, please notify Berries & Books as soon as possible. Missed classes or activities are not automatically eligible for refunds, credits, or make-up sessions unless otherwise stated for the specific program.

Children are expected to participate in activities in an age-appropriate and respectful manner.

Behavior & Community Expectations

Berries & Books is committed to creating a positive environment where children feel safe, respected, and encouraged to learn.

Children are expected to:

• Treat instructors, staff, and other children with respect.

• Follow reasonable safety and activity instructions.

• Use program materials and equipment appropriately.

• Keep hands, words, and actions respectful.

• Participate in maintaining a clean and welcoming environment.

If a child's behavior creates a safety concern or significantly interferes with the experience of other children, Berries & Books may contact the parent or guardian and determine appropriate next steps.

Repeated or serious behavior concerns may result in removal from a program without a refund.

Arrival & Pickup

Parents and guardians are responsible for ensuring that children arrive on time and are picked up promptly at the end of their scheduled program.

Children may only be released to an authorized parent, guardian, or designated pickup person listed with Berries & Books unless prior written authorization has been provided.

Parents or guardians should notify Berries & Books if someone other than an authorized pickup person will be picking up their child.

Late pickup may result in additional fees when applicable to the program.

Health, Illness & Safety

Children should not attend when they are experiencing symptoms that may prevent them from safely participating or may expose other children or staff to illness.

Berries & Books may ask a child to leave a program if the child becomes ill or presents a health or safety concern during the program.

Parents and guardians are responsible for informing Berries & Books of relevant allergies, dietary restrictions, or other information that may affect participation.

Berries & Books will make reasonable efforts to accommodate information provided by families; however, parents and guardians remain responsible for communicating all known allergies and restrictions before participation.

Food Activities & Allergies

Some Berries & Books programs, including Wonderberry experiences, may include food preparation, tasting, gardening, or other hands-on activities.

Parents and guardians must disclose known food allergies or dietary restrictions during registration.

Because activities may involve shared spaces and ingredients, Berries & Books cannot guarantee an entirely allergen-free environment.

Parents and guardians should contact Berries & Books before enrollment if their child has a serious or life-threatening allergy so that we can determine whether the program can safely accommodate the child.

Emergency Contact & Medical Information

Parents and guardians authorize Berries & Books to contact the emergency contacts provided during registration if they cannot be reached.

In the event of an emergency, Berries & Books may contact emergency medical services when reasonably necessary to protect the health or safety of a child. Parents or guardians are responsible for any resulting medical expenses.

Photography & Media

Berries & Books may occasionally photograph or record program activities for educational documentation, website content, social media, marketing, or promotional purposes.

Any required photography or media consent will be presented separately during registration. Parents and guardians may decline permission when a separate consent option is provided.

​

Personal Belongings

Children should avoid bringing valuable, fragile, or unnecessary personal items to Berries & Books programs.

Berries & Books is not responsible for lost, damaged, or misplaced personal belongings.

​

Program Changes

Berries & Books may occasionally need to modify schedules, activities, instructors, locations, or program offerings due to circumstances such as weather, facility availability, staffing, safety concerns, or other unforeseen circumstances.

When possible, families will be notified of significant changes in advance.

​

Parent/Guardian Communication

Berries & Books may communicate with parents and guardians by email, phone, text message, or other contact information provided during registration.

Important communications may include schedule updates, reminders, program information, payment notices, and safety-related information.

Parents and guardians are responsible for checking the contact information associated with their child's registration.

Program Dismissal

Berries & Books reserves the right to discontinue a child's participation when necessary because of serious or repeated behavior concerns, safety concerns, failure to follow program policies, or other circumstances that make continued participation inappropriate.

Any refund or credit following dismissal will be determined according to the applicable refund and cancellation policy.

Agreement

By registering a child for a Berries & Books program or activity, the parent or legal guardian acknowledges that they have reviewed and agree to follow these Parent/Guardian Agreement & Program Policies.

​

Berries & Books may update these policies from time to time. Updated policies will be posted on this website with the applicable revision date.
